Here are some office moving tips for preparing for the move:
Matrix Relocations is not responsible for any personal belongings, such as legal papers, money, checks, pictures, plants, lighters, pens, etc. We suggest you move these items privately. However, we can advise you how to pack those items, or purchase any special containers. Feel free to contact our team of experts at the offices of Matrix Relocations in Bulgaria, Greece, Serbia, Kosovo, Macedonia and Croatia.
So let’s start with the office moving tips!
All desks should be empty before the move and all contents must be packed in boxes. Loose or small items such as current working papers, letter trays, books and other desk items should be sealed in plastic bags or paper envelopes and put in boxes with other items.
You don’t need to empty the filing cabinets but all files should be locked before the move. Make sure that they are securely locked or fastened with tapes or string.
Special arrangements should be made with your moving company prior to the move if security regulations require escorts.
All garbage should be thrown away before the actual move starts. You should get a permission from the city authorities to have industrial size dumpsters placed in front of the building if you have large amount of garbage to throw away. We can make the arrangements for bringing the dumpsters. Remember that the more you throw away, the less you have to move. Make sure that you don’t throw away any important items.
Examine the building access at both locations (stairs, freight elevators, loading docks), parking issues before the move in order to avoid any surprises at the time of collection and delivery. Elevators should be working and large enough to move the furniture. If the building has no elevator, inform the moving company so they can make the required arrangements for an external lift or cranes. You can always ask one of our survey managers in Sofia, Athens, Belgrade, Pristina, Skopje and Zagreb to perform a pre-move survey visit in order to be sure you are well prepared for the day of the actual move.
Photocopy machines: All fluids from the photocopy machines should be removed. Contact the supplier and check if the machines need to be removed in a special way or if the supplier should undertake the relocation of specific items;
Computers: Disconnect and dismantle computers properly. Your IT specialist has to monitor this process and to assist with disassembling and later reassembling of the computer equipment;
Vending Machines: All items from the vending machines should be removed. Contact the supplier if special arrangements are required;
Water Dispensers: Empty water from your water dispensers. Contact the supplier if special arrangements are required;
Rented Equipment: If you have any items or machinery which are rented you must notify your rental company before the day of the move.
Internet connection and telephone lines: Ensure that you have arranged internet connection at the new location and that the phones and fax machines are working. The sooner you start work again, the sooner you continue working.
